# One archive for every document, message and call

Every communication and document the firm sends or receives lands in one encrypted archive. It is the system of record. The CRM's activity history is written from it. Reviewers search it, and exports come out of it with a receipt.

## Every channel, one archive
Email, texts and picture messages, phone calls and video meetings are captured as they happen. So are documents, faxes, physical mail, chats and social messages. Websites the firm publishes are snapshotted too. Each item is stored encrypted and indexed for search. It is kept with its participants, its time and its channel. The archive takes what each connected service sends it. It never reaches into a mailbox or a phone on its own. The same item is never filed twice.

## Search across everything at once
Staff and reviewers search all channels from one box. Search by person, date, channel or matter. The result is a timeline, with the original message or document one click away. An email opens exactly as it was sent, attachments included. The original file can be downloaded for a regulator or a court. Recordings open only for people with the specific right to hear them. Each such access is written down.

## The CRM's history comes from the archive
The archive is the only source of captured messages and calls on the household record. When a message arrives, the archive matches it to the people it knows and writes the touchpoint. Staff never log a captured call or email by hand. A message that cannot be matched with confidence waits for a person to assign it. When a contact becomes a client, their earlier history is filed to the new record. A daily check keeps the two in agreement.

## Retention and holds
Retention rules have versions, so the firm can show which rule applied to a record and when. The retention plan for each item is set as it arrives. A named hold keeps everything it covers, whatever the retention rule says. It stays until someone with the right to lift it does so. When a record finally leaves, only a receipt with no content remains. So the firm can prove what was kept and for how long. There is no delete button for an advisor.

## Export with a receipt
A governed export produces a complete bundle of the records a request covers. A readiness receipt lists what is in it. Each one needs the right permission and a fresh decision recorded in the CRM. It also needs an audit entry. Filings sent to tax authorities ask the archive for a custody receipt. So the firm can show the exact document that was filed. Nothing leaves the archive without a record of who asked and why.

## Website snapshots
The firm's own websites are crawled on a schedule. Each page version is kept with a screenshot. Two versions can be compared side by side to see exactly what changed. A manager's or a partner's website can be watched the same way. So a quiet change in a disclosure or a fee page stands out. Snapshots sit in the same archive as the firm's messages, under the same retention rules.

## Supervision where the work happens
Supervisors review work in the workbench where it was done. Each approval is stored with the item it approves. Signed documents, delivered reports and approved marketing pieces are filed with their approvals. So the record shows who said yes and when.
